Manage who has access to your BeanRails account and what they can do.
Viewing Members
Go to Members in the sidebar to see everyone on your team, their role, and their status.
Inviting a Team Member
- Click + Invite Member
- Enter their email address
- Select a Role to define their permissions
- Click Send Invitation
The invitee receives an email with a link to accept and set up their account. Pending invitations appear in the members list until accepted.
Roles
Each member is assigned a role that controls which modules they can access and what actions they can perform (read, create, edit, delete). See Roles & Permissions to create and manage roles.
Deactivating a Member
To remove access without deleting their history:
- Find the member in the list
- Click the options menu and select Deactivate
Deactivated members cannot log in but their activity records (works completed, invoices created, etc.) are preserved.
Resetting a Member's Password
Admins can trigger a password reset for any team member:
- Open the member's profile
- Click Reset Password
- The member receives a reset email

Assign the most restrictive role that still lets a team member do their work — you can always expand permissions later.
