Manage who has access to your BeanRails account and what they can do.
Accessing Members
Go to Settings → Members.
Licences
Each member (excluding the Owner) consumes one admin user licence. Visit the BeanRails website for current pricing details.
At the top of the page, three cards show your current usage:

Licence alerts
- No unused licences — an info banner appears when all slots are filled. You cannot add new members until a licence is freed or more are purchased.
- Licence exceeded — a warning banner appears if the number of members exceeds your licence count. Some members will be automatically disabled until the count is back within the limit.
Purchasing more licences
To add more member licences, click Add Licences in the alert banner. This opens a pre-filled email to sales@beanrails.com. The BeanRails team will adjust your plan and update your licence count.

Adding a Member
- Click + Add Member
- Enter:
- Name
- Role
- Click Save
After saving, a one-time password is displayed. Copy it and share it with the new member — it will not be shown again.
Warning
The password is shown only once. If you lose it, use Reset Password on the member's row to generate a new one.
Member Actions
Each member row (except the Owner) has three action buttons:

Tip
The Owner account cannot be edited or removed. Ensure at least one admin has full settings access at all times.
Roles
Each member is assigned a role that controls which modules they can access and what actions they can perform. See Roles to create and manage roles.
Deactivating a Member
Members shown as Enabled: No cannot log in. To change a member's enabled status, edit their role assignment or contact support. Their activity history (works, invoices, etc.) is always preserved.
